Netmail provided the University Hospital of Basel with an ideal email migration and archiving solution that allowed them to quickly migrate to Exchange with minimal impact
on their user community, consolidate their existing GroupWise archives, and enable the university hospital to continue archiving email on its new Exchange system post-migration. With the addition of the Netmail Store component of the Netmail platform, the university hospital was also able to significantly reduce overall storage costs while ensuring the integrity of the university hospital’s large volume of email data.
Located in Basel, Switzerland, c is one of Switzerland’s leading university medical centers designed to provide medical treatment to 150,000 patients per year. It offers treatment in all medical fields but specializes in transplants, cardiovascular care, multiple sclerosis and HIV therapy, in addition to running a state of the art maternity clinic. With over 4000 employees and the enormous challenges faced by a large university hospital that must remain operational 24/7, the University Hospital of Basel began looking for an email archiving system to replace its existing system after the hospital made the decision to migrate from GroupWise to Exchange.
To facilitate the migration to Exchange, the University Hospital of Basel worked with SITaaS GMBH, a strong Messaging Architects partner based in Germany, who assisted them with all the planning, implementation, and training required for the migration project. “Planning and communication were critical to the success of our migration project,” recalls Thierry-A. Ravessoud, the IT Manager at the University Hospital of Basel. “Netmail and SITaaS were instrumental in helping us with both of these elements, in addition to providing all the technical resources necessary to complete the migration project quickly.”
During the migration to Exchange, the university hospital was also able to quickly discover and centralize all of their native GroupWise Archives so that end users would later be able to access them through Outlook. The integration of “stubbing” whereby email messages, message attachments, calendar items, tasks, and notes that are stored in the live email system are replaced with a ‘‘stub’’ that points to the copy of the item stored in the archives also allowed end users to easily identify archived messages which has helped minimize end user concerns over the transition to the new email platform and the implementation of the new email archiving policy.
- Rapidly migrate 6500 end users with minimal disruption to the demanding 24/7 hospital environment
- Implement an email archiving and retention strategy on the new Exchange system
- Reduce overall storage costs while ensuring the security of the university hospital‘s email data
Recognizing the Benefits Immediately
One of the main benefits that the University Hospital of Basel immediately recognized after implementing Netmail Archive was the reduced storage requirements on the Exchange server. The ability to control the growth of email data on the university hospital’s live email servers has also improved the performance of the overall messaging system and reduced the time and energy the IT department spends managing and maintaining the email system. The implementation of the very competitively-priced Netmail Store, the email storage component of the Netmail platform, has also helped the university hospital securely store over 4 terabytes of email archives.
