How much experience do you have with migrations?
Where do we start? We’ve been doing migrations for over 5 years. In the early days, we’ll admit to making a few rookie mistakes. But we course-corrected along the way. That’s what differentiates us from the other guy. He keeps making the same mistakes over and over again. We actually learned more from his mistakes than our own. We kept getting better and better, and now we are simply the best.
Will you customize the migration to my needs?
Migrations are like snowflakes. Everyone is slightly different. So we’ll perform a thorough system review with you during our Phase 1 – Planning stage. We’ll also help you figure out how much data you really need to transfer to your spanking new Exchange system. Heads up, we’re big on the garage sale concept. Move only what you need. But we’ll get into all that later.
What are your common best practices?
In a nutshell, the best way to perform an email migration is to first move the bulk of your email messages and related attachments into a repository that uses an application-independent and future-proof file format (we use raw ASCII text with XML tags). This helps reduce the risk of data loss during migration by archiving all email messages and attachments pre-migration. The use of this repository as the basis for the migration allows for 100% transparent communications between the two email systems, even allowing for live eDiscovery requests to be conducted during the migration.
Will you minimize the impact to end users?
Of course we will. Your end users matter to us as much as they matter to you. Maybe more. So we’ve created a communication plan just for them. Change is hard. We make it simple by letting them know what’s happening every step of the way. We’ve written the emails for you and even provide a countdown calendar so you can schedule them to go out exactly when they need to.
Do you help with end-user communication?
Unlike the other guy, Netmail Migrate actually helps to drastically reduce the length of the migration. Since the data transfer is performed in the background prior to the cut-over date, there is no need to configure complicated co-existence systems or SMTP gateways. Email systems with thousands of users can be prepped in advance and the mail redirected to the new email system in a matter of hours – most of our largest clients have had the final step of their migration done over a short weekend.
Do you provide a dedicated migration coordinator?
We sure do. You’ve got enough on your plate organizing your team, as well as carrying out your day-to-day job stuff. Our dedicated coordinator will take care of everything. From project planning to system reviews to project management, we’ve got you covered. We’ll do the work. You’ll get the credit.

How much time and effort should I budget for this process?
This is a tricky question. We’ll definitely require a resource or two on your side, but every migration is different so the time and effort required will be different. We’ll discuss all this up front though, so don’t expect any surprises.
How will you minimize the impact to end users?

How much do you charge for the migration?
There are different models so you can choose what’s best for you and your budget. We work on a subscription model, so we’ll only charge you for how many mailboxes we migrate, plus a flat fee for sending our migration expert out there.
What tools do you use to facilitate migration?
Because we are that good at this, we’ve developed several methodologies and tools to facilitate the migration. We’d tell you all about them, but then we’d have to kill you.
How will my historical data be treated?
With dignity and respect. Seriously, once we move all of your historical data into the central repository, you can decide what you want to do with it. You can inject all of it, even the Cotswolds vacation pictures Aunt Milly sent to your work email by mistake, into the new email system, but we wouldn’t recommend doing that. You can use Netmail Archive to selectively inject data by folders, date, size, subject, keyword, or any combination of these options and more, into the live email system, but that might be a bit time consuming and more trouble than it’s worth. Better yet, why not have an email policy conversation and decide exactly how much email you really and truly need in the live system and how much you want to keep in the archive.
